ADVOCAP’s Shared Services Department is accepting applications for a full time Executive Administrative Assistant. This position will provide high level administrative support to the Executive Director, various office personnel and ADVOCAP board members ensuring efficient operation of the executive office. This role requires exceptional organizational skills, attention to detail and the ability to handle sensitive information with discretion.
RESPONSIBILITIES INCLUDE:
- Maintain accurate corporate records
- Organize and maintain files and records, ensuring confidentiality
- Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence
- Assist in the preparation of board and committee meetings, including agenda creation, distribution of materials, taking detailed and accurate minutes, and organizing food catering when necessary
- Assist in the preparation of leadership team meetings, including agenda creation, distribution of materials, taking detailed and accurate minutes, and organizing food catering when necessary
- Plan and coordinate agency-wide employee engagement and team-building events for staff members
- Handle incoming calls and emails, responding to inquiries and redirecting as necessary
- Perform other administrative tasks as required to support the Executive Director
JOB REQUIREMENTS:
- An Administrative Professional or Executive Assistant associate’s degree or three years of previous equivalent experience preferred to meet job standards
- Proven experience as an executive administrative assistant or in a similar role
- Excellent descriptive writing skills and verbal communications skills
- Ability to compose, type and proof materials, establish priorities and meet deadlines
- Must be able to plan and coordinate large Board and Staff events
- Can collaboratively and effectively work well with others
- Must be able and willing to assist staff and Board members with various inquiries
- Must be available for monthly scheduled night meetings and the ability to travel within Fond du Lac, Green Lake and Winnebago counties, including ordering and providing food at meetings
- Able to work independently with direction
- Strong organizational and time-management skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Drug screening, and fingerprinting for background check required
- Maintain highest level of confidentiality with information obtained
- Possess an understanding of poverty and the ability to be non-judgmental with those served
SALARY & BENEFITS
36-hour full-time work week position with a starting pay of $17.73/hour based on qualifications. This full-time position will have access to health, dental, vision, life, short- and long-term disability, vacation, sick and holiday pay, and our employer contribution 401k.
